ATS Resume Mistakes

Submitting applications without receiving interview requests can be frustrating. You may have relevant experience, but your resume might not be communicating your qualifications clearly.

One place to start is checking for ATS resume mistakes. An Applicant Tracking System, or ATS, helps employers manage applications. Some systems also extract information from uploaded resumes to populate candidate profiles.

Formatting problems can interfere with that process. However, a parsing error does not automatically mean your application was rejected, and formatting is only one possible reason you are not receiving interviews.

Here are common mistakes to check before your next application.

1. Using a Complicated Resume Layout

Multiple columns, tables, and text boxes may look organized on screen but can create problems for some resume parsers. Greenhouse identifies these layouts as potential causes of unsuccessful parsing.

How to fix it: Use a simple, single-column layout. Organize your information under clear headings such as:

  • Professional Summary

  • Work Experience

  • Skills

  • Education

  • Certifications

Keep your most relevant qualifications easy to locate.

2. Putting Contact Information in a Header or Footer

Your name, phone number, and email address should be easy to find. Greenhouse notes that contact information placed in document headers, footers, or text boxes can cause parsing problems.

How to fix it: Place your contact details at the top of the main document body. You can still use bold text and spacing to make this section stand out.

Double-check that your phone number and email address are correct.

3. Uploading a Resume as an Image

A screenshot or scanned resume may be readable to a person but unsuitable for a system’s text extraction. Lever, for example, supports Word and PDF documents but cannot parse image files such as JPG or PNG.

How to fix it: Follow the employer’s file instructions. When accepted, submit a Word document or a PDF containing selectable text.

Try highlighting and copying the text from your saved file. This is a useful basic check, although it does not guarantee that every ATS will interpret the document correctly.

4. Relying on Graphics to Explain Your Skills

Skill bars, charts, and icons can make your qualifications harder to interpret. A reader should not have to guess what “four out of five circles” means for your Excel knowledge.

How to fix it: Describe skills in clear language and support them with examples.

Instead of:

“Excel: ★★★★☆”

Write:

“Used Microsoft Excel to update inventory records, sort data, and prepare weekly reports.”

Only include tasks you can confidently discuss during an interview.

5. Leaving Relevant Skills Too Vague

Formatting alone cannot communicate experience that is missing from your resume.

Phrases such as “helped around the office” or “worked in production” give employers limited information about what you actually did.

How to fix it: Review the job description and identify requirements that match your experience. Use accurate, specific language.

For example:

  • Warehouse: Order picking, RF scanners, shipping and receiving.

  • Office support: Scheduling, data entry, Microsoft Excel.

  • Manufacturing: Machine operation, quality checks, production documentation.

Avoid copying every keyword or adding qualifications you do not have.

6. Making Work History Difficult to Follow

Inconsistent dates, unclear job titles, and crowded paragraphs can make your background harder for a recruiter to review.

How to fix it: Use the same structure for each position:

Job Title | Employer | Month Year–Month Year

Follow it with brief bullet points describing relevant responsibilities and accomplishments. Be accurate about dates and keep the order easy to follow.

7. Skipping the Application Review

Uploading your resume should not be the final check. If the application fills in fields automatically, review them before submitting.

Confirm that your:

  • Contact information is correct.

  • Job titles and employers match your resume.

  • Employment dates are accurate.

  • Required questions are complete.

  • Uploaded file is the intended version.

Correct any errors you can edit.

What If You Still Are Not Getting Interviews?

After addressing ATS resume mistakes, review the bigger picture. Are you applying for positions that match your qualifications? Does your resume show relevant experience near the top? Are your schedule and location preferences compatible with the opening?

A clear resume supports your application, but it cannot guarantee an interview. Focus on presenting an honest, relevant picture of what you can offer.
